Walk Through Nepal is committed to providing safe, well-organized, and transparent trekking and travel experiences across Nepal. Please read the following terms and conditions carefully before booking your trip with us. These terms apply to all bookings made directly through our website, email, or WhatsApp.
Booking & Deposit
To confirm your booking, we require a 20% deposit of the total trip cost, along with a completed booking form and a copy of your passport.
This 20% deposit is non-refundable once your booking is confirmed and will be treated as a cancellation fee if you cancel the trip at any point after confirmation.
The remaining 80% balance must be settled upon your arrival in Pokhara/Kathmandu, before your trip begins. You may also choose to pay the balance in advance by bank transfer or credit card for convenience.
All prices are quoted in USD, and any payments made in another currency will be converted at the prevailing exchange rate at the time of payment.
Last-Minute Bookings
We accept last-minute bookings up to 3 days before departure, subject to guide and permit availability.
For last-minute bookings, full payment is required at the time of booking, and this payment is non-refundable.
Payment Methods
Walk Through Nepal offers the following secure payment options:
Himalayan Bank Online Payment
For added convenience, we accept online payments processed through Himalayan Bank Limited (HBL). All transactions are SSL-encrypted, meaning your card details are transmitted securely and never stored on our end. Supported cards include VISA, Mastercard, American Express, and UnionPay. A processing fee of 3.5% applies to payments made through this gateway.
Wire Transfer / Direct Bank Deposit
Prefer a direct transfer? We'll share our bank account details by email upon request. Please note that any transfer or intermediary bank charges are the responsibility of the sender.
Credit Card (In-Person)
For payments made in person using our card terminal, we accept VISA, Mastercard, and American Express, subject to a 3.5% processing surcharge.
Cash
We accept cash in major currencies, USD, EUR, GBP, AUD, CAD, and others. Notes must be recent, undamaged, and ideally in $50 or $100 denominations. For USD specifically, we're unable to accept bills printed before the 2009 series due to bank acceptance restrictions.
Trip Postponement
If you're unable to travel on your scheduled dates, please notify us in writing (email or WhatsApp) as early as possible.
Nepal trips may be postponed to a new date of your choosing, and your 20% deposit will be retained as trip credit for future travel with us - usable within 1–2 years of the original booking date.
One complimentary postponement is allowed if requested at least 10–15 days before departure.
Cancellation Policy
To cancel your trip, please send written notice via email at least 20 days before your departure date.
The 20% deposit is non-refundable under all circumstances once your booking is confirmed.
If you cancel 20 days or more before departure, we will deduct the 20% deposit and refund the remaining balance (if any additional payment has been made).
If you cancel with less than 20 days' notice, the full trip cost is non-refundable.
We're happy to provide documentation (receipts, cancellation confirmation) to support any travel insurance claims.
Incomplete Trip Policy
Walk Through Nepal is not liable for refunds on any unused services, meals, accommodation, guide services, or transportation if a trip is left incomplete due to the client's personal decision, health condition, or any other reason on the client's part.
Risk, Responsibilities & Liability
Trekking and mountain travel involve inherent risks, including personal injury, illness, altitude sickness, or property damage, arising from physical exertion, high-altitude conditions, weather, or transportation. While Walk Through Nepal takes all reasonable precautions to ensure your safety, we cannot eliminate these risks entirely. By booking with us, you acknowledge and accept these risks, and agree that Walk Through Nepal, its guides, and staff are not liable for injury, death, or loss of personal property during the trip.
Travel Insurance
Comprehensive travel insurance is mandatory for all clients. Your policy must cover:
Emergency medical treatment and evacuation
Helicopter rescue (especially for high-altitude treks)
Trip cancellation or interruption
Loss of baggage or personal gear
Clients are responsible for confirming their policy covers these situations. We are not liable for costs not covered by your insurance provider.
Passport and Visa
To enter Nepal, you'll need a passport that remains valid for at least 6 months beyond your planned departure date from the country.
Nepalese tourist visas can be obtained on arrival at Tribhuvan International Airport in Kathmandu, at major land border crossings, or in advance through a Nepalese Embassy or Consulate in your home country. Visa fees are payable directly by you and are not included in our trip cost.
Current tourist visa fees (payable in cash, USD or equivalent convertible currency):
15 days — USD 30
30 days — USD 50
90 days — USD 125
All tourist visas are multiple-entry. Visa fees are set by the Nepal Department of Immigration and are subject to change without notice, so we recommend confirming current rates before your trip.
Payment for visa-on-arrival must be made in clean, undamaged USD bills; worn, torn, or older-series notes are often refused at the counter.
To speed up the arrival process, we recommend completing Nepal's Online Tourist Visa Form through the Department of Immigration's official portal before you travel. The form is valid for 15 days from submission, so complete it shortly before your arrival date. Print the confirmation receipt, you'll need to show it to immigration officers on arrival.
Visas can be extended at the Immigration Office in Kathmandu or Pokhara for a minimum 15-day extension (approx. USD 45), plus USD 3 per additional day, up to a maximum stay of 150 days within a calendar year. Overstaying incurs a late fee of approximately USD 5 per day.
If you're trekking in restricted or special permit areas (such as Upper Mustang, Manaslu, Dolpo, or Kanchenjunga), additional special permits are required on top of your visa, these are arranged separately and are outlined in your specific trip's inclusions.
It's your responsibility to ensure your passport and visa documents are valid and in order before departure. Walk Through Nepal is not liable for denied entry, missed flights, or trip disruptions resulting from invalid or incomplete travel documents.
Flight & Transportation Delays
Flight delays and cancellations are common in mountain regions (especially Lukla, Jomsom, and remote airstrips) due to unpredictable weather. We recommend building 1–2 buffer days into your itinerary. Walk Through Nepal is not responsible for additional costs incurred due to weather-related delays, including alternate transportation or extra accommodation.
Unforeseen Circumstances
Walk Through Nepal is not responsible for itinerary changes or trip disruptions caused by circumstances beyond our control, including natural disasters, political instability, government restrictions, extreme weather, or global health emergencies. Any additional costs arising from these situations are the client's responsibility. We strongly recommend travel insurance to cover such scenarios.
Health & Fitness
Clients should ensure they are in good physical health before undertaking any trek, particularly at high altitudes. We recommend a medical check-up prior to booking. Please inform us of any pre-existing medical conditions at the time of booking, as walking times and difficulty levels in our itineraries are averages and may vary by individual fitness.
